SET-UP, TAKE DOWN, AND THE EVENT ITSELF
All items shipped for use at AstroZone will be delivered to the event room prior to set-up.
All exhibits and exhibitors must be ready to go by 11:45.
Exhibits must be manned at all times while the event area is open to the public. Volunteers will be available to help in case of emergency or if an exhibitor needs to a break.
No exhibitors may begin the take down process before 4:15.
There will be volunteers around to help with set-up and take down.
10:00am - 11:45am: AstroZone Set-up
12:00pm - 4:00pm: AstroZone open to public
4:15pm - 5:00pm: AstroZone Take down
NOTE: If you do not wish to ship back left over materials, the organizers will provide various alternative options.
SHIPPING INFORMATION
Boxes should arrive NO later than Wednesday December 31st
All boxes must be properly labeled with the address above and AstroZone Box Markers.
If you are exhibiting at the AAS/ASP meeting, DO NOT send your AstroZone boxes as part of the main exhibit shipment. If you do, they WILL NOT make it to AstroZone!
Affix the box markers to as many sides of your box as possible.
It is IMPERATIVE that you provide us with: the number of boxes you have shipped, the carrier, and the tracking numbers if available. Send details to: jake@cis.rit.edu.
If you choose to ship boxes to yourself, you will be responsible for getting them to AstroZone.
